Provide and maintain administrative assistance to Executives, including managing schedules, appointments, board meetings, conferences, etc. Applied for both internal as well as external parties.
Prepare and drafting correspondence, reports, memos, and presentations.
Handle sensitive information with confidentiality and professionalism.
Manage information flow in a timely and accurate manner.
Attend meetings, take minutes of meeting and prepare deck for meeting or when required.
Make travel and accommodation arrangements.
Rack daily expenses and prepare daily/weekly/monthly/quarterly reports.
Keep electronic and physical records to ensure that information is well-organized and easily accessible.
Perform additional assignments and responsibilities as assigned.
What Will You Need
Min. 5 years of relevant experience (personal assistant/executive secretary/business or similar role).
Min. Diploma degree.
English proficiency (written and verbal).
Excellent organizational skills, good communications skills, multitasking, and detail-oriented skills, and ability to work with people of all levels.
Ability to work independently as well as team player with a “can do” attitude.
Ability to effectively manage multiple tasks, work to deadlines, prioritise and juggle between tasks, solve problems, and work effectively under pressure.
Ability to function well in a high-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with virtual meeting platforms and scheduling software.
Plus: Public speaking, presentation, interpersonal, and networking skills.
